| Description: | Performs a variety of clerical duties necessary to maintain efficient flow of operations in the medical office. The HIM PSA is responsible for scanning documents into the Electronic Medical Record. The HIM PSA will communicate with patient request for medical records and with internal and external customers. May also answer multiple phone lines, schedule appointments, assemble, maintain, locate and file medical records. |
| Duties: | ESSENTIAL FUNCTIONS:
• Interacts with all internal and external customers in a caring and respectful manner in accordance with our Core Values philosophy.
• Appropriately sorts and scans documents into the Electronic Medical Record.
• Ensures patient consent for medical records release is on file.
• Prepares medical record and release of information for copy service in accordance with established policies and procedures
• Verifies patient information on encounters assuring that the appropriate documents go into the appropriate EMR.
• Copies/scans insurance information
• Performs data entry when required.
• Creates new medical record numbers when appropriate
• Obtains patient consent for treatment and provides notice of privacy practice
• May print schedules and reports as required by site
• Communicates with colleagues using an EMR to create and receive messages through “inbox” and “Pools”.
• Prints labels.
• Purge charts for off site storage per site policy.
• Photocopies records and forms according to established policies and procedures.
• Adheres to State and Federal safety guidelines.
• Maintains patient confidentiality and protected health information in accordance with HIPAA privacy guidelines.
ADDITIONAL RESPONSIBILITIES:
• May fill in as needed for the Telephone PSA and is expected to perform in accordance with the functions of that job description.
• May fill in as needed for the Check-Out PSA and is expected to perform in accordance with the functions of that job description.
• May fill in as needed for the Check-In PSA and is expected to perform in accordance with the functions of that job description.
• Requests and maintain adequate office supplies.
• Participates in orientation/instruction of new clerical personnel as requested by director/manager/front office supervisor/coordinator.
• Participates in quality improvement processes as requested by director/manager/front office supervisor/coordinator
• Responsible for own professional growth.
• Performs other duties as assigned.

| Qualifications: | KNOWLEDGE, SKILLS, AND ABILITIES:
• Knowledge of clinic processes
• Working knowledge of multiple documents and medical records.
• Strong computer knowledge and skills with a minimum typing speed of 30 AWPM.
• Alpha/numeric filing skills
• Effective oral/written communication skills.
• Ability to navigate multiple system applications
• Ability to:
• Operate standard office equipment.
• work effectively under pressure of high patient volume.
• communicate tactfully/pleasantly with public and all level of personnel.
• be flexible to changing work duties and priorities

MINIMUM QUALIFICATIONS, TRAINING, AND EXPERIENCE:
• High School diploma or equivalent (GED)
• 6 months of clerical experience in hospital or health care setting preferred
• 6 months health care medical records experience preferred
• Minimum typing speed of 30 AWPM
• Previous customer service experience preferred
